How long does the service contract last?
The contract is valid for a minimum of one year and is automatically renewed unless notice of termination is sent via the registered customer area or on the appropriate form by registered post.
Is it possible to add accessory modules later and/or increase the number of users?
You can request the addition of further modules or users at any time by filling out the online order and making the payment.
The increase in the number of users extends to all existing modules, not just new ones.
Similarly, the increase in the number of modules extends to all users purchased.
Once we have verified that your payment has been successful, you will receive an email notifying you of the activation of the added modules and/or users.
How can I be sure that the modules I have purchased are always up to date?
You don’t have to worry about updating the software as this is automatic and free of charge. This is one of the great advantages of the cloud. You always have the security of using the latest version and you can take advantage of the improvements that are added without any extra cost.
What happens when the contract is terminated?
The contract may be terminated at any time with 15 days’ notice of the expiry date indicated in the order, by sending by registered mail the appropriate form, which may be downloaded from the site, completed and signed by the person designated by the company to manage the contract.
The customer will receive a copy of all the data belonging to him on the system updated to the date following the last day on which the customer has access to the service.
Once the termination of the contract is effective, the customer will no longer have access to the service.

What materials and documentation do I have to understand how to use HR-Assistant?
On the website, in the area reserved for registered users, you will find the user manual and a series of video tutorials showing how to carry out the most frequent operations.
Is it possible to organise a training course, even at a distance, for users in my company?
We can organise both distance learning courses on the use of the platform (e.g. webinars) and traditional classroom courses. Send us an email specifying your needs and we will contact you.
Is it possible to import data into HR-Assistant?
You do not have the possibility to import data into HR-Assistant. However, we can offer you a technical data import service. Please contact us if you would like more information.
Can I export data in HR-Assistant for off-line use?
The main modules of the system allow data to be exported from the system and saved on the user’s PC in different formats (e.g. excel, pdf, etc.). The type of data that can be exported depends on the role of the user. Users with a role other than administrator have limited access to the data for which they are responsible.
What kind of integration is envisaged with regard to the software used for producing payslips?
It is possible to export attendance and other data so that they can be captured by the software used to produce payslips. However, it is necessary to check in advance with the user of the software which format to use.
Is it possible to connect the system to time and attendance terminals?
The system is compatible with most commercially available time and attendance terminals, which have to be purchased separately. A specific optional module is also available to allow employees to clock in and out online (web clocking).
Can I have a demo?
Simply register or fill in the contact form on the website and you will be contacted by one of our consultants to arrange a live demonstration of the system via video conference. The demo can be focused on the aspects of greatest interest to the customer.
How does a cloud application work?
A cloud application does not require the purchase of software. Software as a service’ means that the software is made available already installed on a suitable hardware platform, and the price includes support and user assistance. The advantage of this method is that you do not have to worry about installation or updates, and you can access the application and your data wherever you are and using any device (PC, tablet, smartphone). When subscribing to the service you can specify the desired application modules and the number of users who will access the application. All you need to use the application is an internet connection and a browser.

How do I know if my data are safe?
Security is our priority. With HR-Assistant your data is always safe. We have put in place a multi-layered set of measures to ensure security that are unlikely to be taken in-house.
Physical security – The hosting infrastructure is located in secure data centres using all the latest electronic surveillance technology as well as multi-factor access control systems. These data centres are protected 24 hours a day, 7 days a week by specialised security personnel and access is granted on a minimum privilege basis only. Every time a person leaves an area containing customer data, they are inspected. Environmental systems are designed to limit the impact of downtime on operations. Data centres are located in different geographical regions and in different availability zones, so service can be guaranteed even if failures affect a particular area, even if the cause is due to natural disasters. The infrastructure is designed to provide optimal availability without sacrificing customer privacy and confidentiality.
Application security – HR-Assistant has been developed on a software platform designed for the highest security standards. The multi-layered application architecture allows both logical and physical separation of the presentation and execution layer from the data access layer to ensure the necessary checks are in place before allowing access to the database. Sophisticated security rules control which users can access each feature and data table to the point where individual actions are controlled at the individual record level.
Automatic data back-up – All customer data is backed up daily in a secure storage area, located in a different availability zone from the one in which the service is provided, to minimise the risk of data loss, including from natural disasters or system failure. In addition, the customer can request a copy of his data at any time.
Constant monitoring – The hosting infrastructure is protected by an extensive network of monitoring systems. These systems provide important security features such as basic protection against DDoS (Distributed Denial of Service) attacks and detection of brute force attacks on accounts. In addition, the infrastructure components are continuously scanned and tested. In addition, the application-level accessibility of the HR-Assistant service and the load on the servers on which it is hosted are constantly monitored to ensure that the service is always available with adequate response times.
