Fast provisioning

HR-Assistant is provided in the Software as a Service mode (SaaS), There are no costs of purchase or installation but only a monthly fee. After you have subscribed to the service, you will receive an email with the access credentials. Upon receiving these data, your specific HR-Assistant instance will be immediately accessible through the internet.

You will be able to log in as an administrator, to configure the system for your business, define other users and grant them the access credentials.

It’s very simple, computer skills are not required, just follow a short course in self-training using video tutorials that you will find in the area reserved to registered users and keep at hand the user manual.


You will get, for the whole duration of your subscription period, a support service to provide you assistance in using the system. If you cannot find the answer to your problem in the FAQ and the documentation on the website and if you are the autorized person of your company to ask for support, you can contact our team by writing an email to support@hr-assistant.it.

The service is available from 9.00 am to 18.00 from Monday to Friday, excluding holidays. Write an email describing the problem possibly including a screenshot. A member of our team will process your request as soon as possible.


Security is our priority. With HR-Assistant your data is always safe. We put in place, to ensure the safety, a set of measures on several levels that are unlikely to be adopted within small or medium companies as they are quite expensive and complex to manage.

Physical security

The hosting infrastructure is located in secure data centers using all the latest electronic surveillance technologies as well as multifactor access control systems.

The data centers we use are protected 24 hours, 7 days from specialized security personnel and access is allowed only based on the principle of least privilege. Whenever a person comes from an area that contains customer data, he is inspected. The environmental systems are designed to limit the impact of downtime on the operations.

The data centers are located in different geographical regions and in different availability zones, and consequently you get great service even in case of service interruptions in a particular area, even if the cause is due to natural disasters or system failures.

The infrastructure is designed to provide optimal availability without sacrificing privacy and customer confidentiality.

Application level security

The HR-Assistant solution has been developed on a software platform designed to the highest safety standards. The application architecture is structured on multiple levels and allows to separate both logically and physically the level of presentation and execution from the level of data access and storage in order to ensure the necessary checks before permitting access to this level.

Sophisticated security rules allow you to control which users can access each function and data table to the point of being able to control individual actions allowed at the single record level.

The access to the system security is achieved through various tricks, such as:

  • Authentication is done via username and password transmitted by SSL encrypted protocols, the password choice must pass a strength verification test, password expiration procedures are adopted, the password modification procedure includes captha validation
  • Automatic locking of the user session if the IP address changes during the session, in order to prevent hijacking of the same.
  • Automatic locking of the user session if a new user session is started by a different browser in order to prevent multiple concurrent sessions
  • Ability to track all IP addresses used by the users.
  • Ability to block access to certain IP addresses
  • Ability to restrict access to only certain IP address ranges

Constant monitoring

The hosting infrastructure is protected by an extensive network of monitoring systems. These systems provide important safety features such as basic protection from DDoS attacks (Distributed Denial of Service), and detection of brute force attacks on accounts. Besides the infrastructure components are continuously scanned and tested.

High availability

Data centers used for hosting the application are located in different regions of the world and in different areas of availability for each region. Each availability zone is an independent error zone. This is why the availability of areas have been physically separated within a region and are located in low risk areas. Each one is powered by different grids, so as to reduce the single points of failure. The availability areas are connected in a redundant fashion to several first-level transit providers.

In the unlikely event of a fault, the customer data traffic would be moved away from the area affected by automated processes.

The basic applications are distributed according to a N + 1 configuration, so that if a data center were to interrupt the operation, there would still be enough capacity to balance the traffic load on other centers.


Software customization

On customer’s request the software can be customised  in order to adapt it  to the business processes and to specific problems of the customer, for example:

  • addi features
  • add fields to the database
  • customize export files
  • development of new types of reports
  • interfacing with other software, such as payroll software
  • interfacing with attendance terminals

Continuous update

The hardware and server software, which hosts HR-Assistant, are subjected to constant updating. The systems that have reached the end of their life cycle are replaced with new ones equipped with the most advanced processors not only to improve performance, but also because this allows to include new security technologies.
